Become a hotel manager.
Now.

No training, no onboarding project, no consultant. Create an account in the evening and run your rentals in the morning at a level some hotels would envy - with a front desk, calendar, your own website and reports that speak plainly.

Coming soon

Your website and bookings work the first evening.

The ApartSync Reception dashboard: arrivals, departures and outstanding balances on one screen

Why it works without a manual

Every screen answers the question you actually have: who arrives today, who owes me money, what needs cleaning.

Every number is explained in words right next to it. RevPAR takes one sentence, not a course.

The system never pretends. When it does not do something yet, it says so - and says what to do instead.

Daily work

A front desk that thinks ahead

The day starts on one screen: arrivals, departures, who owes what and what needs attention. No hunting.

The ApartSync calendar: rooms as rows, stays as bars, Airbnb and Booking reservations

The Reception dashboard

Arrivals, departures and in-house guests, today and tomorrow. Outstanding balances of upcoming arrivals surface by themselves.

A calendar that cannot double-book

Every room a row, every stay a bar. Drag to move a stay; click an empty day to create a booking with the price suggested. A double booking is technically impossible.

Phone bookings in 30 seconds

A guest calls - you click the day, type a name, adults and children, tick breakfast. The total updates live and the room is held instantly.

Blocks and owner stays

A bathroom renovation, a family week - block the nights in one click, with a label everyone on the team understands.

The housekeeping board

A guest checks out - the room appears for cleaning automatically. Same-day arrivals jump the queue. The cleaner's phone is all the hardware needed.

A reception kiosk for tablets

Guests check themselves in: find the booking by name or code, confirm the stay, leave contact details. Polish and English, large type.

Document scanning at the kiosk

A guest shows an ID card or passport and the kiosk reads the two lines at the bottom - the ones with check digits, so a mis-read is caught and shown as 'not certain' rather than written down silently. The photograph is never stored: only the document type and number remain, which is what a property may note.

The sky over the calendar

A nine-day forecast sits exactly above the day column it belongs to. You see that Thursday is wet and you see, underneath, who arrives on Thursday - that is the moment you offer the spa instead of the bikes.

The day, beside the rack

Arrivals, departures, who is staying, what booked itself online overnight, what is held without a confirmation and who owes money - next to the calendar rather than a page away. Every line opens its booking.

A card on hover

Rest on a bar and you have the guest, the dates, how many people, the channel and what is still owed - without opening anything. Enough to answer a phone call.

Guests & money

Know everything before the guest asks

Who is coming, with whom, with a dog or without, breakfast or not - and what is left to pay. All on the reservation, nothing in a notebook.

An ApartSync reservation: stay, money, deposit and extras at a glance

The stay manifest

Names and ages of fellow guests - ready for registration and for housekeeping's headcount. Fill it in when you know; nothing blocks the booking.

Extras like a grand hotel

Breakfast, parking, an extra bed, a cot, a pet - plus your own ideas. Per stay, per night or per person per night; 'included in price' is an option too. Switch on only what you offer.

Extra prices safe in time

An extra's price is recorded the moment it is booked. Raise the breakfast price - old bills stay untouched.

Deposits without mental math

One tap: a 30% deposit, 50%, or the whole balance. The system remembers what was paid and what the guest owes on arrival - always one number.

One ledger for all money

Cash at the desk, a bank transfer, a card terminal - in the same history as online payments. Paid, partly paid, unpaid - without a spreadsheet.

Guests who come back

Visit history, money history and your private notes on every guest. Returning guests are highlighted - you greet them as if you remembered everything. Because you do.

Przelewy24 online paymentssoon

Cards, BLIK and instant transfers for guests - built and tested, switching on with the first customers.

Selling

Your website sells, commission does not exist

A booking website built in a five-minute wizard that sells from day one - no middlemen and never a commission on your bookings.

The ApartSync website builder: sections on the left, the words in the middle, the live page on the right

A builder, not a form

The page in order on the left - drag a section to move it. What that section says on the right: a heading, text with bold and lists, and a photograph chosen from your own.

A preview beside it, desktop and phone

The same page a guest will see, framed next to the editor. The phone renders at its real width, so it makes the same layout decisions a guest's phone would.

A menu with submenus

Ten subpages fit in the bar because pages can be gathered into named groups. Pages you wrote yourself - house rules, directions - join the menu like the built-in ones.

Your logo

In the site's header, as its browser-tab icon, and on the bill, the invoice and the registration card. Without one the site sets its own name in type rather than showing an empty box.

A website in 5 minutes

The wizard asks in plain words: what is this place, which rooms, which photos, which words. At the end you have a live website with online booking at your own address.

Seven characters, five moods

Classic, Nocturne, Editorial, Luxe, Industrial, Modern or Rustic; seaside, forest, terracotta, slate or vineyard. A new look is two clicks - no designer, and nothing written is touched.

Sections like building blocks

Packages, area attractions, guest reviews, FAQ, gallery, directions - ready sections you toggle and arrange. Not an Elementor clone: simpler and faster.

Online booking from the live calendar

'Available' on your site means actually available - the same availability engine your desk sees. Guests pick dates, a room and extras; the total updates live.

Two languages, translations included

Website and panel in Polish and English. Your own texts get translated in an editor next to the original.

An address instantly, your domain too

yourname.apartsync.com works automatically from the moment you publish. Your own domain connects with one DNS record - we check it for you and say exactly where it stands.

SEO as standard

Proper headings, descriptions, structured data and static-page speed - plus a real link from our public directory.

The building

Your building, drawn by you

Upload a plan of each floor and paint the apartments onto it. From then on the map shows tonight's truth: who is in, what leaves today, what is waiting to be cleaned.

ApartSync property map: a floor plan with apartments and guest names

A plan per floor, a grid on the plan

Upload the drawing, paint over the grid - an apartment gets a shape, not a pin. Floors are tabs; replacing the drawing underneath keeps every placement.

Colour says what is happening

Occupied, leaving today, arriving today, same-day turnover, to clean, free. One glance instead of reading a list.

A click opens the stay

Straight from the plan into the reservation, without hunting for a name on another screen.

The plan for guests, if you want it

The same drawing can go on your website: the guest picks dates and sees which apartment is free. You switch it on when you decide to.

Bill and till

Money that adds up

The guest's bill, the invoice and the drawer in one place - with tax worked out once and the same way everywhere.

The day's till in ApartSync: payments grouped by method, cash counted apart

A printable bill

Everything this stay costs: nights, extras, services with the day they were used, discounts, the local levy. The guest gets line by line, not one total.

Invoices issued from the panel

Preview before a number is spent, print after. Numbering is gapless within the year and the seller block is frozen onto the document. A host who is not VAT-registered gets an invoice with no rates and the exemption printed.

Bundled lines, detail kept

Whisky, cola and beer can appear as one “Food and beverage” line - but only lines carrying the same VAT rate. The itemised list still prints for the guest.

Every way money arrives

Cash, card, BLIK, transfer, online, voucher. A refund is a negative amount, so it leaves the drawer instead of quietly shrinking an earlier payment.

The day's till

Every payment of one day grouped by method, cash counted apart, and a “counted in the drawer” box. The difference shows immediately.

Checkout needs a settled bill

A stay cannot be closed with money owed - unless the desk deliberately lets the guest go and says why. That debt lands on a “left unsettled” list.

Control

You can see who did what - and undo it

Every change is recorded, and the irreversible ones ask before they happen.

ApartSync activity log: who changed what, and when

Activity log

Every action in the portal - by hand and automatic - with the person, the time and exactly what changed. Filter by module, person and date.

Undo the last action

A moved reservation, changed dates, a recorded payment - one click returns to the state before, as long as nothing else has touched it since.

A question before anything irreversible

Cancelling, deleting, letting a guest leave owing money - each asks for confirmation, and some also for a reason that stays in the history.

Push notifications

A new booking reaches your phone even with the panel closed. Each person switches it on in their own browser.

Address confirmed at signup

A new account types a six-digit code from its email before it sees anything. An account opened on someone else's address simply cannot be used.

The paper a guest is handed

The PDFs make themselves

Every document is rendered from the data at the moment you open it - never stored as a file. A correction shows up in the printout immediately, with no “please print that again”.

A reservation in ApartSync: the stay, its services and the guest's documents

The guest's bill

Everything this stay costs, line by line: nights, extras, services with the day they were used, discounts, the local levy. With your logo at the top.

An invoice, with VAT or without

Gapless numbering within the year, the seller block frozen onto the document, a breakdown per rate. A host who is not VAT-registered gets the exemption printed instead of an invented 8%.

A registration card with the GDPR clause

The full article 13 notice - controller, purpose, legal basis, retention and the guest's rights. Your company as the controller, not ours.

Statements and reports

Occupancy, revenue, channels, the local levy - printable, or CSV when your accountant asks.

KSeF - in preparationsoon

Sending B2B invoices to Poland's national e-invoicing system is built and tested on our side; we switch it on for tenants once we have completed production validation. We would rather say that plainly than promise the moon.

Revenue

Prices and channels under control

Set seasons once, let the automat watch for opportunities, and read reports that say what actually stays in your pocket - after every commission.

ApartSync reports: occupancy, revenue, ADR and RevPAR explained in plain words

Seasonal prices and minimum stays

July 890, May 520, three-night minimum in summer - written once; the website, the calendar and every quote read from the same place.

Dynamic pricing inside YOUR band

Optional: busy dates drift up to your stated maximum, quiet last-minute dates ease down to your stated minimum. Never outside the band; one switch turns it off.

Airbnb and Booking.com, connected honestly

iCal calendars both ways: their bookings block your nights, yours block theirs. A conflict is detected and brought to you - never silently overwritten.

Nocowanie.pl and Noclegi.pl

The calendar link works today; full two-way sync via the Szallas group partner programme is in progress.

Margins, not just revenue

Enter each channel's contracted commission and the report shows revenue, commission and net per source. When it does not know - it says so instead of guessing.

Reports translated into plain words

Occupancy, ADR, RevPAR, booking sources, breakfast and parking revenue - every number with a one-sentence explanation. Nothing to configure.

Letters that send themselves

Before arrival, a payment reminder, a thank-you after the stay - at the right moment, in the guest's language, only at civilised hours.

Team & peace of mind

Control without micromanaging

Everyone sees exactly what their job needs - and nothing else. And you sleep well, because data is separated at the database level.

The ApartSync team page: roles, access, one-tap revocation

Roles cut to the job

Reception sees arrivals and payments, housekeeping only the room board, accounting the money and reports. An account takes a minute; access is cut with one tap.

An audit trail

Who confirmed, who took the payment, who changed the price - every action stays in history. 'Who did this?' takes a second to answer.

Accounts in your plan, with no surprises

Website is 2 accounts, Website + Channels 5, the whole of ApartSync no limit. The ceiling is written on the screen rather than discovered by hitting it. Moving down a plan FREEZES the accounts over the limit - the history stays and the person returns when a seat frees up. The owner never freezes.

The panel's theme belongs to the person

Eight themes, chosen by the account rather than the property. An owner reading invoices at midnight and a receptionist under a strip light can have completely different screens, and each takes theirs to the next device.

Guest data erases itself

You decide how many years after the last stay personal data disappears - name, contact, notes. The stay, the amounts and the invoices remain, because those are a separate obligation. We never touch a guest who is with you, nor anybody with money still owed.

Several properties? One account

Managing a few places - switch between them without signing out. One person, many properties, zero data mixing.

Bank-grade separation

Each property's data isolated at the database level (row-level security), daily backups, encrypted integration keys.

Updates without your work

New features appear by themselves - no installs, no downtime, no maintenance window. The system version is always stated in the open.

Some hotels will be jealous.

Front desk, bookings, housekeeping, prices, reports and your own website - one place, from day one. Create the account in the evening; by morning you are the hotel manager.
